What this policy covers. This policy explains what we collect when you ask us for a quote or place an order, what we do with your artwork files, what our website does with cookies, and how long we keep each of these.
What we collect. What we need to quote, produce, deliver and account for your order: your name and the organization you are ordering for, your contact details, the delivery or pickup address, the details of what you asked us to make, the artwork and files you send us, our correspondence with you, and the record of what you paid and when.
How we receive your files. Artwork reaches us in one of two ways — through the order form on our website, where it is stored in our website provider's system and is accessible to us as the account holder, or by email to our business address. If you send us artwork any other way, tell us, because we may not be able to find it later.
Payment information. Payments are processed by Squarespace Payments, the payment service built into our website platform. You may also choose to pay using PayPal or Venmo. We do not operate a payment system of our own, and we do not store full payment card numbers in our own records. From the payment provider we receive the order and payment-status information we need to fulfill your order and to account for it. Whatever you give the payment provider at checkout is handled under that provider's own terms as well as ours.
Cookies. Our site runs on Squarespace. Squarespace uses necessary cookies and processes technical visitor information, such as IP address, browser and device information, pages visited, timestamps, and referral information, to serve, secure, and operate the site. We have not enabled Google Analytics, Google Tag Manager, Google Ads, Meta Pixel, Bing UET, or other advertising or remarketing tags. If we enable non-essential analytics, advertising, or remarketing tools, we will update this policy before doing so.
Who else is involved. We use service providers to run the business: our website and e-commerce provider, our payment provider, our business email provider, our shipping carriers, and our accountant. Each receives only the information it needs for the part it performs, and each handles that information under its own terms and privacy policy as well as our agreement with it. We do not sell your information and we do not add you to marketing lists without your consent.
How long we keep artwork. We keep the production artwork for your order for 24 months after it is delivered, so that a reorder can be produced without your sending the file again, unless you ask us to delete it sooner. After that it is ordinarily deleted from our active production systems, except where we still need it to resolve a warranty claim or a dispute, to meet a legal or tax obligation, or because you asked us to keep it longer. Backup copies may remain until they are overwritten in the normal course of our backup cycle. You can ask us at any time to delete your production file sooner or to keep it longer. We are not an archival or backup service — keep your own copy of anything you may need again.
How long we keep order records. Business and transaction records are generally retained for seven years for tax, accounting, dispute-resolution and recordkeeping purposes. High-resolution production artwork is stored separately and follows the shorter schedule described above.
Security. We use the account controls and ordinary business safeguards available through our service providers. Artwork submitted through our order form is stored in our website provider's system and is available through an account-restricted link. No method of transmission or storage is completely secure, and we do not promise absolute security. If we learn of a security breach, we will provide notices required by applicable law.
Your choices. You can ask us what we hold for you, correct your contact details, ask us to keep your artwork for reorders, or ask us to delete your artwork sooner than the schedule above. We will do so where we can. We cannot delete records we are required to keep for tax and accounting purposes.
Children. Our services are intended for adults and for authorized representatives of businesses, schools, teams and other organizations. We do not knowingly collect personal information directly from children under 13. An adult organizer placing a team, school or group order may give us the names, numbers and sizes needed for printing. Please do not ask a child to create an account, submit artwork, or give us their details directly.
Changes. We may update this policy as our services or data practices change. The effective date above identifies the current version. We will post material changes before they take effect.
What changed in Version 7. Production artwork is now kept for 24 months after delivery by default, so a reorder does not need the file sent again; you can still ask us to delete it sooner. Under Version 6 it was ordinarily deleted within 90 days unless you asked us to keep it. Nothing else changed.
